ThisExecutive Assistant role provides direct support to 4-5 executives in a fast paced, challenging, and rewarding environment in our C-Suite with principal administrative support for CFO, CAO, VP of Investor Relations & FP&A and Treasurer. The Executive Assistant is the first point of contact for executives from internal departments and external partners, ensures the department runs smoothly so executives can use their time productively, and works independently with minimal supervision or direction. This position will be exposed to highly confidential documents and information in the ordinary course of employment.
Essential Duties and Responsibilities:
This position is responsible for, but not limited to, the following: * Provide administrative support for up to five executives in the office of the CFO, including CAO, Investor Relations/FP&A and Treasury. * Manage appointment scheduling and calendar maintenance. * Communicate and coordinate early and clearly with all members of the team to effectively plan schedules. Anticipate potential schedule conflicts and proactively deal with them. * Coordinate travel arrangements, including domestic and international travel, visa arrangements, * Work with business development databases (SharePoint, Salesforce.com, etc.) for project management setup and maintenance and help manage investor relations database * Serve as administrative point person for incoming and outgoing communications with external firms and banking community. * Coordinate meetings for the department and the executives including setting up of conference rooms, audio/visual requirements, arranging catering and/or picking up lunches as needed, etc. * Coordinate off-site meetings (regionally and/or nationally), incl. group hotel accommodations, hotel meeting rooms, meals, video equipment, etc. May require occasional travel. * Prepare and file expense reports and submit and manage invoices using iBuy for payment to vendors. * Set-up video conferencing and/or phone conferencing. * Order and stocking of office supplies. * Answer/screen phone calls. * Assist with copying, drafting correspondence, sending FedEx packages etc. * Other administrative duties may be assigned as necessary.
REQUIRED: * Bachelor’s degree or equivalent. * Minimum five years’ experience supporting multiple executives in an administrative role in a similarly fast-paced environment. PREFERRED SKILLS: * Proficiency in Microsoft Office programs, including Outlook, Word, Excel and PowerPoint. Excellent word processing and file management skills * Strong preference for experience in supporting a CFO or another C-suite leader for a publicly-traded international company. * Successful candidate will be articulate with a professional presence. * Proven team player within and outside of supported department * Self-starter and capable of prioritizing his or her own work. * Display and operate in a way that never compromises ethics and integrity; will be handling highly confidential information * The ability to function professionally under pressure, while managing multiple concurrent projects and deadlines. * Must be comfortable working in a high-energy, quickly changing and demanding environment. * Must be able to become proficient in the use of video conferencing and other media technology * Strong interpersonal (listening, communication, writing) skills. * Detail-oriented. * Have a high sense of urgency. Occasional after-hours or early morning work is necessary. * Self-motivated, proactive, and able to work on projects alone or in a group setting. * Continuous improvement mindset.
