Pall nurtures your career and due to continued growth, we are recruiting a fluent Spanish speaking Service Operations Administrator based in the UK or Spain, providing support to the Pall Industrial markets. This is an exciting opportunity to join a fast-growing organisation.
Your main daily duties will be the interface between the Service Department and: Freight Forwarders, Customer Service, Accounts Payables and Receivables, Procurement and some customer accounts.
You will manage all Service-related documentation, ensures processes are followed, act as a gate keeper for order booking / invoicing. Lastly, you also support to the Service Operations Manager for data analyst and provide System expertise.
As Service Operations Administrator, you will have the following responsibilities;
Assist the Shared Service Manager & the Operations Service Manager in the day to day running of the Services function
Track and manage services documentation
Support the service execution team to work in customer interface portals to provide documentation.
Support of reporting service KPIs on weekly/monthly & quarterly basis and visually illustrate the data.
Implement Danaher problem solving techniques to bridge gaps.
Deal with customer complaints and claims
Provide office-based support to Field Engineers working remotely
Attend regular service reviews on a weekly/monthly basis for service feedback.
Support RACI and Workflow processes taking the required action for third party services
Support for entry Purchase Requisition, collaborate with Procurement and Finance departments for all Service purchases
Support of service-related logistics and follow-up of the progress until delivery
Focal point for field service engineer tool ordering
Procurement of emergency spare parts for F&B, implementation of processes
F&B Specific Documentation for spare parts certification
Provide customers return documentation for 3rd party service work and work with customers to ensure units are returned correctly and on time
Monitor / track progress with 3rd party vendor (through tracking document) and action follow up of repair quotes with our customer and arrange for return back to customer
Timely follow up and feedback provided for all customer issues to leaders.
The successful candidate will be IT literate and be able to pick up new systems quickly. Additionally, you will have the following attributes;
Strong communication, interpersonal, listening and business acumen skills.
Strong organisational skills
Strong PC skills, Microsoft Office skills – specifically Microsoft Excel and PowerPoint
Self-starter that can work independently and act with a focus on continuous improvement
Results orientated – able to clearly separate effort from results. Must possess the ability to quickly gather data to identify trends/issues, clearly communicate next steps and aggressively follow up to ensure that opportunities are closed.
Strong time management skills.
Must be self-driven and willing to take the initiative to respond to and/or address challenging situations.
