Position Summary

The Executive Assistant's key responsibility is to support and advise the Senior Vice President on projects, processes, and various business-related activities. By building collaborative relationships with internal and external groups, including global teams in the United States, Canada, Europe, APAC, and LATAM, the Executive Assistant will be the primary support on everything administrative including, but not limited to, coordinating meeting events and schedules, managing travel arrangements, managing calendars, and expense reporting. In addition, the Executive Assistant will prepare presentation materials for use in various meetings involving the leadership team and others within the organization. This is a hybrid position requiring three days onsite/two days remote.

Major Responsibilities

  • Heavy calendar management - coordinating all aspects of the Executives’ schedules, including a high volume of complex domestic and international travel arrangements; understanding the Executives’ needs and working to meet them

  • Planning and coordination of management meetings including preparation of agendas, PowerPoints, minutes, communication with presenters, and follow-up on actions

  • Acting as the point of contact between the executive and internal or external colleagues

  • Handling correspondence directed to the Executive

  • Managing and processing monthly expense reports and purchase requests

  • Finding ways to improve processes and create standard work

  • Working on special projects as needed for the Global Commercial organization

  • Planning and organizing team events, meetings, and employee team-building activities both internally and offsite

  • Managing the work of the Office Coordinator and Facility Coordinator

Required Education, Experience, Skills

Education: High school diploma or equivalent; college degree preferred


  • 5+ years supporting high-level executives

  • Prior supervisor experience is helpful but not required

  • Must be proficient in using the latest versions of Microsoft Word, Excel, PowerPoint

Travel: 10% - 15%

Language: English
