Our site in Newcastle is looking for a Facilities Manager, you will be responsible (functional and budgetary) for all aspects of facility maintenance and availability to meet business needs. This is to be achieved through specifying, procuring and management of services and equipment to ensure Health and Safety, Good Manufacturing Practice and business standards are maintained.

The role is also responsible for coordinating the development and execution of plans for emergency response and facility related business continuity planning.

Major Responsibilities

  • Contribute to the development of plans to ensure all/multiple facilities are maintained in good working order and implement planning of preventative maintenance to safeguard effectiveness with contingency where appropriate. 

  • Organise maintenance and repair contracts for all site – includes plant & equipment in line with business needs and ensure breakdown repairs are covered adequately 

  • Effectively manage all outsourced contracts (cleaning, catering, site, building and grounds maintenance/upkeep etc) to ensure business needs are being met successfully across all Newcastle sites and where appropriate identify and delivery indirect saving on utilities supplies.

  • Own the relationship & oversee the management of the day to day activities of the Housekeeping personnel to ensure site cleanliness 

  • Act as on-site liaison during planning and construction of office expansions whilst maintaining a key role in space planning, tracking, move coordination, and new hire space accommodations.

  • Identify and lead implementation of improvements to current working practices, standard work, quality procedures& work instructions where applicable.

  • Control and support third parties whilst on LBS Newcastle premises 

  • Own the relationship & oversee the management of the security function on site and ensure business needs are fully met, as and when required. 

  • Manage and lead all calibration, service contracts and maintenance contracts  

  • Lead the Business Continuity Planning Annual Tests in partnership with EHS Leader

  • Own, Review & Update the Business Continuity Plan on a regular cadence to incorporate key learnings & improvements.

Additional Health and Safety Responsibilities

  • Provide so far as is reasonably practicable a healthy and safe workplace for employees, contractors and visitors

  • Support EHS framework and assist in annual planning, implementation, evaluation and review

  • Work with EHS Manager to implement policies, procedures and support improvements

  • Support best practice safety performance levels and ensure business complies with all relevant EHS regulations

  • Be actively involved in Workplace Inspections and Near Miss and Incident reporting

  • Discuss and review statistical data (near misses, incident reports, etc) at monthly management meetings

  • Ensure safety performance is included in annual staff review

Required Skills/Experience

  • Prince 2 or other recognised Project Management tool

  • Affiliation with BIFM would be advantageous.

  • NEBOSH / IOSH would be advantageous.

  • Sufficient Health and Safety experience and awareness of practices for site management in an operational environment

  • Strong experience of working with third party contractors with demonstrable experience of negotiating and managing outsourced arrangements

  • Working understanding of the CDM Regulations

  • Extensive management experience of maintenance, landscapes, asset management and budget control.

  • Working knowledge and an ability to manage Health and Safety Expectations

  • Familiar with GMP/Lab GMP

  • Experience of highly regulated environment (desirable)

  • Good organisational and managerial skills – able to prioritise conflicting requirements •

  • Highly customer focused with proven communication skills at different levels with both internal and external contacts
