Description
The Executive Assistant will provide high-level support and perform advanced administrative duties for the President of Molecular Devices (MolDev) and up to two other Vice Presidents within the business, assisting on a variety of projects. As the President interfaces with a diverse group of colleagues, a key part of the Executive Assistant’s role will be developing relationships with MolDev and Danaher leadership, assistances, and associates. Executive Assistant support will focus on heavy calendar, travel management, meeting management, communications, and expense reporting.

This is a fast-paced role that requires a responsive, thoughtful, strategic, and customer-focused individual with high agility, professionalism, integrity and the ability to be comfortable in a rapidly changing environment.

Key Responsibilities: * Heavy calendar management - coordinate all aspects of the President and assigned VPs schedules, including high volume of complex domestic and international travel arrangements; understand executive’s needs and work to meet them. * Communicate and coordinate early and clearly with other EA’s supporting the Leadership Team, staff and external contacts, to effectively plan schedules. * Serve as gatekeeper of the Executive’s time, schedule, and information while maintaining a courteous manner. Anticipate potential schedule conflicts and proactively deal with them before they become issues. Must be able to maintain complete confidentiality regarding details of schedules and related information.
* General project management assistance, including maintaining and updating action plans and timelines, scheduling meetings and interfacing with project groups as appropriate. * Manage and reconcile expense reports and purchase requisition reports. High focus on attention to detail, timely / accurate completion, and compliance to policy and raising questions/concerns to President and the finance department as appropriate. * Maintain files and manage invoice approval and submission to assist with monthly budget forecast to Danaher Corporate.
* Produce PowerPoint presentations, Word documents, and Excel spreadsheets as required. * Plan and coordinate meetings/gatherings for a variety of group sizes in worldwide locations including multiple media technologies such as audio, video conferencing. * Set-up video conferencing and other media technology as needed. Continue to evaluate effectiveness of tools, utilization, and exploring improved options. * Assist, participate or may lead site associate social activities with focus on delivering to intention, budget, and deadlines. * Answer/ screen phone calls, monitor email, and sort mail as requested. Critical focus on timely responsiveness and stepping in professionally to help address conflicts, problem solving, etc. * Understand executive’s needs and work to meet them, requesting feedback from executive and staff to ensure continuous improvement. * Work closely with staff to ensure all deadlines and deliverables are met.

Qualification
* Minimum of high school diploma with at least 5 years' experience; * Bachelor degree preferred; * 3 years of Executive Assistant experience required at President or C-level; * Must be highly proficient in Microsoft Outlook, Word, Excel, PowerPoint and Sharepoint software. Skills and Attributes * Proven track record of performance, results, meeting deadlines, successfully managing administrative processes and maintaining a positive “can-do” attitude * Polished and professional communication style, both oral and written, including impeccable accuracy in formatting * Self-motivated, proactive, and able to work on projects alone or in a group setting * Excellent time management and ability to effectively multitask, juggle shifting priorities, deliver quickly and adapt to changing demands in a fast-paced, dynamic environment * Ability to handle confidential information with discretion and unquestionable integrity * Experience in supporting global organizations * Must be organized and capable of prioritizing and managing multiple projects / tasks * Demonstrated ability to partner with other administrative professionals to manage competing needs and schedules * Strong problem-solving skills and reasoning to quickly follow up and solve administrative issues * Ability to learn primary business objectives, and through this understanding, anticipate administrative needs Culture: The right candidate for this role will embody both the Molecular Devices and Danaher culture.
