The Company

Responsibilities

  • Provide daily virtual and/on onsite support for office maintenance (repairs, service and maintenance) and new hire onboarding (business cards, ID card, orientation, pantry supplies, business name cards, key card access activation and deactivation, season parking, stationeries, courier services, flower orders etc)

  • Serve as contact point to maintain filing/e-filing, update telephone listing and key press management system, and visa application invitation letter for inbound visitors

  • Complete end-to-end business visa process for local associates and appointed visa services partner, and arrange for visa document within stipulated time frame

  • Perform SAP tasks (New vendor creation/PR/PO/GR) for Admin vendors

  • Handle admin indirect vendors sourcing and contract negotiations

  • Handle admin vendor-related matters - office/pantry replenishments and payment etc

  • Schedule with multiple vendors and landlord/facility management/maintenance team

  • Coordinate trainings, meetings, town hall meetings (hotel reservations, transfers, meal arrangements)

  • Attend to incoming phone calls to be advised to ‘operator’ and reception duties (mail distributions, mailing, receive couriers and deliveries)

  • Handle office cleaners' duties and tasks

  • Coordinate duties pertaining Covid-19 pandemic management - office pre-entry applications and management, safe management measures, Personal Protective Equipment (PPE) supplies sourcing and replenishment

Requirements

  • Diploma in any field

  • 10+ years of office administrative experience in a multinational company

  • Excellent verbal and interpersonal skills

  • Knowledge of SAP ERP will be added advantage

  • Experience sourcing for and collaborating with vendors or suppliers
