The Executive Assistant provides administrative support to the SVP Market Access and Government Affairs and VP Global Strategic Planning & Business Development and is responsible for proactively managing the calendars and schedules of these executives and serving as the primary point of contact between them and their internal and external colleagues. This role will also provide administrative support for important projects within each organization which allow for the opportunity to learn more about the Company’s strategic intent and purpose.
This position is part of the Market Access and Government Affairs organization and the Strategic Planning & Business Development organization and will be Remote with a focus on the Pacific Time zone. Both organizations are central to setting strategy and ensuring the Company is optimizing access to its addressable markets.
In this role, you will have the opportunity to:
Coordinate complex scheduling and extensive calendar management
Manage all travel which includes close coordination with various groups locally and internationally, visa preparation, organization of ground transportation, booking hotel reservations, registering for conferences, etc. This will also require the flexibility and agility to deal with unexpected travel updates if/when schedules change both before and during trips.
Act as the point of contact between the executive and internal or external colleagues
Prepare reports, presentations, and data, as well as maintains files, records, and correspondence
Be responsible for all logistics of both large and small meetings, including conference room reservations, teleconference & video conference set-up, food ordering, and associated meeting logistics, including related social activities
The essential requirements of the job include:
High school diploma or equivalent; college degree preferred
5-7 Years supporting high-level executives
E xcellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization
Excellent computer skills using Windows and MS Office, which includes Outlook (e-mail and calendar management), Word, Excel, and PowerPoint; experience using Apple Macs (in addition to Windows PCs) and iPhones preferred
It would be a plus if you also possess previous experience in:
Providing support at a global level, working with a worldwide team, and being mindful of different time zones when scheduling meetings and performing other coordination activities
Ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative
