GENERAL SUMMARY:The Receptionist is responsible for providing clerical and administrative support in a fast paced, customer service-oriented environment. This position supports Marketing, Customer Service, EHS and Human Resources. In addition, it also manages hospitality for Phenomenex Customer Meetings.

DUTIES AND RESPONSIBILITIES:

Provides excellent customer service in a professional, polite and friendly manner. Answer high volume of incoming calls, greeting callers, providing information, transferring calls or screen calls as necessary Greet, assist and or direct visitors and associates Route incoming e-faxes Work independently or with others on Admin Work Orders Maintain utmost confidentiality in HR-related correspondence received via email, mail, phone, etc. Manages and delivers mail & inter-office correspondence to buildings on campus Supports Mail Room duties as needed, operate and maintain mailroom equipment and stamp domestic & international outgoing mail Plans all aspects of hospitality for in-house customer meetings

KNOWLEDGE, SKILLS AND EXPERIENCE:

  • High School or equivalent certification

  • 2-3 years of relevant experience in office environment

  • Proficient in Microsoft Office

  • Strong phone skills

  • Comfortable multi-tasking and prioritizing task without guidance

  • Strong English verbal & written skills; ability to convey information effectively

  • Active Listening – attention to the details.

  • Critical thinking skills - using logic and reasoning

  • Customer service oriented

  • Knowledge of administrative, clerical procedures and systems

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee must have the ability to occasionally lift and/or move up to 25 pounds.

WORK ENVIRONMENT: Supervisors are responsible for maintaining an environment that is free from discrimination, intimidation, coercion or harassment, including sexual harassment. Work is performed primarily indoors in an office, limited laboratory, or warehouse setting. The noise level in the work environment is typically low to moderate; higher levels may be prevalent in laboratories or warehouse settings.

SAFETY: Supervisors are responsible for the safety of their employees by creating and maintaining a safe work environment. New employees must be provided with safety instruction during the first two (2) weeks of employment and receive, as applicable, annual refresher safety training. Supervisors must operate equipment safely and report any unsafe work conditions or practices to their Management and the Safety Manager. Supervisors must ensure that employees work in a safe manner. If there is an accident or near miss, they must submit a Supervisor's Incident Investigation Report to the Safety Manager and Human Resources Department within 24 hours of notification.
