We are currently seeking an Executive Assistant to join our team in Wood Dale IL!
The Executive Assistant is responsible to provide administrative support to our President of Videojet. The position requires strong verbal and written communication skills, technical skills, ability to multi-task, attention to detail, ability to work with confidential information, and the initiative to work in a dynamic, fast-paced global environment. This is a full-time opportunity located in our Wood Dale, IL corporate office.
Your key responsibilities include:
Act as executive’s business partner;
Professional representative to Danaher senior level management, Videojet associates, and external customers and suppliers;
Manage detailed and demanding schedule, Outlook Calendar, and preparing for meetings;
Coordinate extensive domestic and international travel; managing all details pertaining to reservations and itineraries;
Monitor status of key deliverables; establish, manage and adhere to action plans with President to meet deadlines;
Monitor all incoming e-mails for action items and to ensure timely response as required;
Coordinate in-house and off-site meetings for small and large groups (including agenda, accommodations, transportation, catering);
Organize conference calls (setup MS Teams, reminders, document updates in H;/drive);
Ability to participate in global leadership meetings, take actions items, and manage appropriate follow-up from meetings;
Handle business reviews (Ops review, Strat Review, Talent Review);
Organize monthly president’s letter (updates, reminders, coordination and distribute timely);
Manage/maintain outlook “Leadership Team Calendar”;
Manage/maintain manual calendars outside President’s office;
Answering telephone calls, taking messages, and responding to calls in a timely manner;
Coordinate (with President direction) all customer on-site visits, special guests, and external candidates;
Creating, formatting advanced and complex PowerPoint presentations;
Composing and preparing correspondence, in addition to proofreading for spelling, grammar, layout and making appropriate changes;
Assistant as needed to President staff when rush/special/confidential assignments/tasks arises;
Manage research and special projects such as organizing global events with more 50 participants from around the world;
Utilizing Excel and other corp. systems to prepare reports;
Preparing expense reports to corporate policy, processing invoices, and reconcile budget;
Processing and tracking purchase orders;
Organizing and maintaining files;
Copying, faxing, and filing correspondence;
You should have these qualifications:
Strong technical skills with proficiency in Word, Excel, PowerPoint, Outlook, in addition ability to trouble-shoot technical issues;
Ability to independently create documents from notes/input from various sources:
Previous International experience/exposure;
Self-motivated and ability to respond to changing situations in a flexible manner in order to meet current needs and reprioritize work as necessary;
Strong attention to detail and the ability to meet deadlines;
Positive and strong team player;
Strong verbal and written communication skills;
Ability to maintain the integrity of confidential information.
Your academic and professional background includes:
Bachelor’s degree in business or related field preferred
Minimum of 5+ years previous experience as an Executive Assistant with familiarity working in a fast-paced demanding environment supporting President or multiple executives.
